The Ultimate Birthday Party Checklist

No more forgetting the candles. No more realizing you don't have enough plates at 2 PM on party day. This checklist covers everything, organized by when you need to do it.

6–8 Weeks Before

Big decisions:

  • Set a budget
  • Pick a date (with a rain date if outdoor)
  • Choose a venue (home, park, or rental)
  • Decide on guest count
  • Let your child choose a theme

Bookings:

  • Reserve venue (if not at home)
  • Book entertainment if hiring any (magician, character, face painter)
  • Book photographer if hiring one

4–5 Weeks Before

Invitations:

  • Send invitations (digital or physical)
  • Include: date, time, location, RSVP deadline, allergy question
  • Set RSVP deadline for 2 weeks before the party

Planning:

  • Plan the menu (food + cake)
  • Plan 4–5 activities/games

During the Party

Arrival (first 15–20 min):

Activities:
